Qualifications Support Assistant

Reports to: Office Manager

Job Purpose: To provide support to our qualifications team, answering students queries in regards to our suite of qualifications, including ILCA, FiLCA, CiLCA and the Community Governance qualification. The postholder will provide registration and pass data to the team, administer referrals, deferrals, withdrawals, plan and deliver training webinars and provide general administration to events associated with our suite of qualifications.

Specific Responsibilities:

  • To provide help and support to students undertaking SLCC qualifications
  • Respond to enquiries from students via email and telephone
  • Liaise with the Qualifications Administrator to ensure documentation for verification / validation visits is ready for the pre-scheduled visit
  • Issuing of service level agreements to our CiLCA trainers, and ensuring all information is returned and inputted in good time
  • Provide the Head of Conferences, Training & Education with monthly statistics on number of students registering and passing the different qualifications that we offer
  • Provide administration support to qualifications meetings, setting dates, calendar invites, and typing of minutes – checking for accuracy with lead officers
  • Liaise with SLCC CiLCA Trainers to book webinar training, keeping them updated of delegate numbers in attendance
  • Ensure students attending the SLCC qualification webinars are sent all information necessary ahead of the training course
  • Administer the Community Governance library sending out books and issuing invoices to students as they request.
  • Work closely with the Qualifications Administrator taking on some of the administration tasks that they delegate

General

  • Taking telephone and email enquiries from members of the SLCC ensuring they are given correct information or redirected appropriately
  • During quiet periods assist other officers within the team with their duties
  • Undertake continuous professional development in identified areas
  • Undertake duties and activities as may be reasonably requested of you as an SLCC officer

The duties above are specific, but not exclusive. Administrators will provide support in all or some of the areas, and may change from time to time as the demands on the team change.

Person Specification

Required Skills:

  • Previous administration experience
  • Competent user of Microsoft Office
  • Excellent organisational skills
  • Ability to work to deadlines
  • Familiar with Zoom / Teams
  • Competent with data entry and uses databases on a regular occurrence
  • Excellent communication skills
  • Ability to work as part of a team

Desirable Skills:

  • Experience of working in a national organisation
  • Experience of liaising with / working with multiagency professionals
  • Experience of virtual learning environments (VLE)

Education:

  • Minimum of 5 GCSE’s to include English & Maths
